These Guidelines are based in part on commonly adopted international standards and in part on our decades of experience, with the aim of guaranteeing an excellent delivery rate of messages sent and at the same time minimizing the risks of this activity being interpreted as SPAM by part of the Networks and servers receiving the messages, with the particularly damaging consequences of this eventuality. 1) Use specific software (standalone or to be installed on server) for the management of Newsletter and Mailing list, using the smtp server supplied with our services or sendmail in the case of software installed on the server. Many CMSs provide modules or plugins for the advanced management of newsletters and mailing lists, but alternatively there are specific software (eg: PHPList). 2) If the email uses the SMTP (outbound) of a server on the LineaHosting network, set a sending interval NEVER higher than 60 emails per minute and 500 emails per hour ( 100 / hin the case of Personal Line packages). Exceeding this limit is not allowed because it can exponentially increase the risk of obtaining a higher bounce rate and / or causing the block (ban) by Networks particularly susceptible to spam traffic, such as MSN / Hotmail or Gmail , with effects that would also be extremely harmful for other domains of other Clients hosted on the same server! Mass sending activities must be scheduled preferably in the evening or even better at nightor early in the morning, when the server’s smtp activity is lower than the time zone in which you reside. Most software allows you to configure both the sending time and the sending frequency. The ideal interval that optimizes delivery rates is 20-25 emails every 3 minutes. Sending quantities exceeding these limits require the use of external services specifically designed for high outbound smtp traffic, therefore it is recommended to contact our assistance. 3) On our shared hosting plans, the maximum acceptable sending frequency using the internal SMTP is daily with a user not exceeding 1,500 unitstherefore only suitable for small mailing lists. In the Resellers and VPS hosting plans, the sum of daily massive emails sent cannot exceed 5,000 emails. On Dedicated Server it is advisable to contact us to determine the most suitable strategy, in the case of bulk mailings in higher quantities. 4) Absolutely to avoid sending attachments in a mailing list, to avoid a strong increase in errors and timeouts in sending. If documents are to be made available, these should be uploaded to a specific folder within your web space and then made available for download via a link specified in the Newsletter. 5) Each email must contain only one recipient. It is of fundamental importance NOT to group multiple contacts in a single email, even if in blind copy (Bcc), because this is the fastest method if you want our emails to be discarded by the spam filters of the recipients. All Mailing list management software automatically carries out a single sending for each recipient, in addition to the ability to customize parts of text based on the recipient’s data (eg: Name and Surname, etc.), making communication more effective and therefore the possibility that the recipient actually reads the email. Most SMTP servers reject incoming or outgoing emails containing more than 50 recipients, but for greater security it is advisable to use separate or better still individual emails when there are more than 10-15 recipients. 6) If the Newsletters are sent in html format, any element (images included) should be uploaded via a remote path to your account (eg: img src = http: //sito.it/imphotos/ecc.gif) and not attached to the email, to reduce its weight. 7) Naturally, as required by the AUP (Acceptable Use Policies) of LineaHosting and almost all Hosting Providers, the Newsletter must necessarily satisfy the criteria imposed by the anti-spamming measures codified internationally and known as “”opt-in compliance clauses”” “”and”” opt-out “”. This means: – the subscriber must have voluntarily registered for the Newsletteror in any case having given his demonstrable consent. It is recommended to insert a notice at the bottom of the Newsletter reminding the user that he has given his consent to the receipt of this communication (eg by subscribing to a website). If the contact list was not collected directly but was purchased or taken over by a third party company, it is good to ask specifically if the Privacy Policy of this list provides for the possibility of transferring this data: otherwise, your use becomes illegal (and therefore SPAM) if it is not accompanied by a new consent from each recipient. A completely similar argument applies in the event that the list was collected for other purposes – eg: using a list of contacts for billing purposes for communication of offers without having specified consent to send commercial proposals, it is NOT legal. – the subscriber must have the possibility to unsubscribe from the Newsletter through the appropriate link in the Newsletter or in any case in a way that can be easily used even by the less experienced user. It is mandatory to insert a notice at the bottom of the Newsletter indicating how to remove your contact for future communications. Compliance with the opt-in and opt-out clauses (point 7), as well as with the common netiquette practices regarding commercial communications via email, also applies in the event that mass emails are sent via services / SMTP external but with sender or with reference to a domain hosted on a server on the LineaHosting network. These clauses are used to prevent any complaints from third parties or from control bodies (Spam cops) for any phenomenon of indirect spamming (“”Spamdvertising””), which would also entail a penalty for the server hosting the domain of origin. Conditions other than these must be notified in advance and discussed with the Hosting provider, to adopt the most targeted and effective solution, and above all to avoid any type of negative repercussion both on the Client’s services and on those of LineaHosting.”
